Recruiting 02 Warehouse Staff – High-end Decor Goods Operations
Cau Hai Home Decor (CAHA Home Living) is looking for 02 Warehouse Staff – Goods Operations to standardize a 3-story warehouse and enhance the “quiet luxury” experience from the moment goods arrive until customers receive them. The “quiet luxury” orientation emphasizes sophistication, consistency, and discipline at every touchpoint (including packaging – delivery).
Workplace: 166 Ngo Gia Tu, Ward 9, District 10, HCMC.
Product category: High-end decor/interior decoration items (many fragile products: porcelain, crystal, plated metal…).
Operating system: Shopify (inventory/orders) + LarkSuite (task assignment, checklists, reports). Shopify has features for tracking inventory by product/location and supports barcode scanning to assign barcodes/adjust inventory.
Role Objective
You will be responsible for ensuring 4 operational standards: Right product – Right quantity – Right condition – Right time, while maintaining a tidy and quickly retrievable warehouse (especially given the current overloaded warehouse situation). The warehouse is also part of the high-end customer experience: packaging must be secure, sophisticated, and evidenced by photos.
Job Description
Receiving & Inspecting New Goods (Inbound)
You will follow Cau Hai Home Decor's goods receiving checklist:
- Prepare unboxing tools, ensuring they are clean and safe.
- Sanitize, take photos of the shipping label/bill + overall package, then record a video of the entire unboxing process (no editing).
- Take photos of the product with its box/cushioning to save as a "packaging standard" reference; display all items comprehensively; if there's any defect, take close-up photos immediately during unboxing as evidence.
- Record complete notes (name, quantity, size, weight, material, comments on fragility risks...) and report according to the prescribed template/group.
- Enter inventory into the system (Shopify) according to SKU/Location standards (training provided). Shopify has instructions for setting up inventory tracking and managing inventory by location.
Warehouse Arrangement & Material-based Storage
- Arrange goods scientifically, by area and by material group; strictly adhere to internal storage criteria for: glass/crystal/stone; porcelain; leather/velvet/silk; carpets; plated metal; plastic/resin/acrylic…
- Note and warn "FRAGILE" as required; prioritize anti-scratch, moisture-proof, and sun-proof measures according to each product group.
- Maintain clear warehouse aisles, ensuring unhindered operation and safety. Internal warehouse KPIs include "no goods obstructing aisles/ensure safety".
Picking – Inspecting – Packaging Orders (Outbound)
- Cross-reference order information (product code, quantity, version...) and customer information/notes before picking goods.
- Pick the correct item according to the code; check appearance against the checklist (scratches/chips/breakage/tarnish/stains...), clean if necessary; take photos of the product after inspection for records.
- Package in layers (anti-scratch → anti-impact → rigid cardboard box), tape/seal and apply "fragile" warning when needed.
- According to goods-warehouse operational regulations: all orders must have before-and-after packaging photos (minimum 2 photos) to avoid confusion and serve as evidence in case of complaints.
Inventory – Reporting – Internal Coordination
- Perform daily warehouse checklists, reconcile inventory weekly/monthly as assigned.
- Report packaging materials on time according to regulations/KPI (6:00 PM milestone recorded in the sample KPI).
- Coordinate with sales/ops to process urgent orders, provincial orders, returns/exchanges; internal warehouse KPIs include a processing speed criterion for internal requests ≤ 30 minutes/request.
Key KPIs (Transparent Measurement)
The following set of KPIs is directly derived from the currently used warehouse KPI template and standardized into easily understandable "recruitment language".
| KPI Group | Metric | Target Reference | Measurement Notes |
|---|---|---|---|
| SLA | Number of on-time inbound/outbound orders | 100% | According to daily order list and processing log |
| Quality | Packaging error rate | ≤ 1% | Based on feedback/error reports |
| Compliance | Correct storage according to process | 100% | Audit according to material criteria |
| Organization | Warehouse arrangement according to diagram | 100% | Check by photo/area |
| Discipline | Daily warehouse checklist | 30/30 days | Check shift form/checklist |
| Evidence | Error reports with photos/videos according to procedure | 100% | As required by SOP for receiving goods |
| Reaction | Internal request processing speed | ≤ 30 minutes/request | Measured by time from receipt to processing |
Shifts & Shift Duties
Operational recommendation: 02 shifts of 8 hours with overlap to ensure both inbound processing and timely outbound, reducing the "one person does it all" situation. Specific work schedule will be finalized upon agreement during the interview.
- Shift A (suggestion): 08:30–16:30
- Shift B (suggestion): 12:00–20:00
- Overlap: 12:00–16:30 (peak hours for packing/urgent orders).
The current warehouse work timeline also starts around 09:30 and includes standard work blocks: warehouse check, daily order packing, incoming goods receiving, warehouse cleaning and display, returns processing, quick inventory check, and end-of-shift report.
Candidate Requirements
Mandatory
- Meticulous, honest, responsible, able to handle urgent orders and strict photo/document discipline. (This criterion is already included in the internal job announcement.)
- Good health, able to move frequently, climb stairs regularly (3-story warehouse), and lift/carry safely according to regulations.
-
Proficient in using Shopify & LarkSuite for work:
- Shopify: familiar with/able to quickly learn to enable inventory tracking, perform inventory actions by location, and use Inventory Scanner to assign barcodes/adjust inventory.
- Lark Base: use forms/checklists for task assignment – reporting; capable of implementing automation/notifications based on data changes (reducing forgotten reports). Lark describes Base as having form view, workflow automation, dashboard, and advanced permissions.
- Work safety discipline: Warehouse and handling tasks involve ergonomic risks (lifting/lowering, bending, reaching high, pushing/pulling, repetition). OSHA clearly states these risk groups in the warehouse environment and recommends appropriate job design to reduce the risk of MSDs.
Preference (plus points)
- Aesthetic sense in arrangement and packaging (oriented towards "elegant, tranquil, streamlined").
- Previous experience in warehousing for decor/furniture/handicraft industries.
- Basic knowledge of fragile goods packaging (glass/ceramics/metal finish) and material-specific storage.
- Willingness to participate in safety, occupational health, and fire prevention training in accordance with internal regulations & law.
Physical & Safety Requirements (transparent from the start)
The job involves activities such as: lifting/placing goods, pushing carts, carrying boxes, prolonged bending/standing, repetitive packing tasks. OSHA points out that warehouses are environments with ergonomic risk factors (lifting/lowering, bending, reaching overhead, pushing/pulling, awkward posture, repetitive tasks).
Policies & Benefits
- Salary: 8 - 9 MILLION VND/MONTH. (Internal job announcement oriented towards "competitive, clear based on capability") + Monthly sales bonus + Responsibility allowance
- Performance bonus/innovation bonus/task allowance (according to company policy).
- Thorough training on products, storage standards, packaging standards, and system operation skills (Shopify/LarkSuite).
- Luxurious, streamlined work environment, emphasizing kindness – sophistication – responsibility.
Data Security & Discipline
As the warehouse directly handles goods and customer information, successful candidates must comply with data regulations (e.g., rules on document images, not creating separate groups for data sharing) and sign a confidentiality agreement according to company policy.
